Administrative Associate (Part-Time)


The Ruckus Society is seeking a skilled part-time Administrative Associate to start in Fall 2013.

The Ruckus Society is a nonprofit organization which provides training and action support in creative nonviolent direct action to communities fighting for social and environmental justice. Through our volunteer network of direct action trainers and practitioners, Ruckus has trained thousands of activists since 1996. We prioritize working with communities on the front lines of injustice, moving towards a vision of sustainability and self-determination.

Overview of Position:

The Administrative Associate is a half-time position (estimated 20 hrs/week) responsible for nonprofit operations and compliance, office management, assistance in organizational development, and administrative finance and fundraising tasks.  This position is the backbone of the organization, responsible for the steady behind-the-scenes work that makes all other Ruckus work possible.  We are looking for a dedicated, detail-oriented person with the commitment and skills to create an efficient, smooth, and high-functioning organization.

Primary Duties and Responsibilities:

The Administrative Associate's tasks will fall under the following primary areas of responsibility:

  • Nonprofit Operations Management
    • Maintaining all 501(c)3 nonprofit compliance filings and responsibilities
    • Managing organizational insurance policies and renewals (with broker)
    • Human Resources: maintaining records, managing incoming and outgoing staff procedures, personnel benefits, etc.
  • Office Management
    • Managing mail, voicemail and other correspondence
    • Tech management: computer equipment and software, printing, networking, file-sharing, backups, online project management tools, email hosting and listserves
    • Managing vendors
    • Managing gear and supplies inventory at office and storage unit
  • Organizational Development Assistance
    • Tracking organizational commitments and deadlines
    • Maintaining the organizational calendar
    • Maintaining organizational records
    • Logistics planning for staff, board & leadership meetings and retreats
  • Administrative Tasks Related to Finances & Fundraising
    • Help maintain organizational database
    • Work with bookkeeper and finance director to maintain proper financial records, cash flow
    • Manage all receipts, invoices, check requests, bank deposits
    • Collect and process donations, and thank you's
    • Logistics & volunteer coordination help with fundraising events, mailings, phonebanking, etc.
In addition, the Administrative Associate will participate in other staff-wide responsibilities and tasks, to an appropriate degree relative to the A.A.'s part-time status:
  • Contribute to fundraising efforts by participating in strategic fundraising planning, meetings, events and activities;
  • Organizational Development planning, working with the team to help Ruckus continue to grow and evolve to meet the needs of our network and our mission, including regular staff meetings, and organizational planning and evaluation retreats;
  • Attend Ruckus Events, which may include trainings, fundraisers and social functions;
  • Demonstrate leadership and solidarity in network development, to engage and grow the diverse spectrum of stakeholders and communities that Ruckus seeks to serve and empower.

In order to fulfill the stated responsibilities of the role, the ideal candidate will have the following skills and experience:
  • Passionate commitment to the principles of nonviolent struggle for social change;
  • Experience working successfully on a multiracial team;
  • Demonstrated skills and experience in the areas listed above under “Primary Duties & Responsibilities”;
  • Detail-oriented, thorough;
  • Excellent communication skills, both verbal and written;
  • Strong work ethic, highly self-motivated;
  • Sensitivity and commitment to diversity;
  • Flexibility and humor desirable
Bonus: Direct action experience and understanding of the culture and needs of direct action organizing.

Compensation

Half-time salary position for estimated 20 hrs/week at a rate of $17,500-20,000 starting annual salary, based on experience.
Health benefits not included with this part-time position.

Weekly work schedule to be negotiated, within regular Monday-Friday business hours.

Job Location

San Francisco Bay Area.

Note that while Ruckus has been Oakland-based for years, we will be moving into an office in San Francisco (near Civic Center BART) this Fall.  It is possible that we may move back to an Oakland office at a future date, however.
